Frequently asked questions
Short answers to the questions people ask most. Each one links to the article that explains it in full.
Getting started
Where do I sign in?
Your company has its own workspace at its own web address, and your administrator can tell you what it is. If you do not know it, go to globalprojects.app, choose Sign in, enter your Work email and choose Continue. You are taken to your company's workspace. See Sign in and find your way around.
My invitation link does not work. What should I do?
An invitation link works for 7 days. After that you see "This invite link is invalid or has expired." Ask your administrator to create a new invitation and send you the new link. GlobalProjects does not email invitations itself, so the link always comes from your administrator. See Invite people and manage their access.
Why can't I see New Project on my Dashboard?
Creating a project needs a lead role held across the company: Project Owner, Project Manager, Business Analyst, SME / Acting BA or Product Owner, or company administrator. Without one, the Dashboard says "You have not been added to a project yet. Ask a project owner or your administrator." Ask a company administrator to give you one of those roles, or to add you to an existing project. See Create your first project.
Do I have to use the Project Wizard?
No. Choose Skip the wizard to set the project up by hand. If you have started it, open the … menu above the steps and choose Abandon the wizard…. Nothing it created is removed, and you can reopen it later from Project Wizard in the left navigation. The wizard needs AI, so until AI is switched on for your company, skipping it is the way to start. See The Project Wizard.
Working in a project
Can I undo a change?
There is no undo button. A change in the spreadsheet is saved as soon as you leave the cell. Every change is recorded, though. Open the item and scroll to History to see the field's value before and after, then type the old value back. See The history of an item.
Why did Delete not ask me to confirm?
Some deletes act at once, without asking again: the bin icon on a source, and Delete in a question's or a tracker item's window. A requirement is different. You type delete before it goes, because a deleted requirement cannot be brought back, and the requirements under it move up to its parent. See Trackers and The requirements hierarchy.
I pasted rows from Excel. Why were some not created?
In the preview, a row is struck through and left out when its title is empty or its level cannot be read. A row with a note is still created, for example when a priority it does not recognise is left unset. If a large paste stops part way, you are told which rows were imported and where it stopped: paste the rest again. See Paste requirements from Excel.
AI
How do we switch AI on?
We set up the AI service for your company. There is no setting for it in the product. Contact us with your company's name and what you need, and we will reply to arrange it. To check whether it is ready, open a project's AI Command Centre. The strip at the top says AI ready, or "AI is not set up for this company". See Getting AI switched on for your company.
A message tells me to set AI up under Admin. Where is that?
Some messages suggest setting AI up on the AI tab in Admin. That tab shows what AI is costing, not how it is set up. To switch AI on, or to change how it is set up, contact us. See Getting AI switched on for your company.
Does the AI change our requirements by itself?
No. Everything the AI produces waits in Proposals until a person decides. Accepting creates exactly the rows you tick, and the item's history marks the change as coming from the AI. This is true of automatic runs too: they make proposals, never items. See Review what the AI proposes.
Does running the AI cost money?
Yes. Every Run is a paid AI call, and there is no second "are you sure". The line above Run says what will be read and in how many runs, so read it first. In the Project Wizard, Draft again is a second paid run. A project can have a spend cap, and your company has an overall limit. See Automatic runs and spend caps and AI spend across the company.
Why was my AI run refused?
The reason appears in red below Run. The selection may be too large to analyse in one go: choose a smaller part, such as one epic, and run again. The project's spend cap, the company limit or your plan's AI allowance may have been reached. You may not have the run ai steps permission on the project. Or AI may not be set up for your company yet. See Run the AI from the AI Command Centre.
Is our content used to train AI models?
The AI providers' own published statements on this are quoted on our Security page. Each one links to its source and shows the date we last read it, so you can check it yourself. Whatever the AI produces waits for a person to accept it: it never writes to your project on its own.
People, roles and seats
Who uses a seat?
Each internal person uses a seat on your company's plan. Guests and third parties do not. When every seat is used, inviting another internal person is refused with a message saying so. Plans are priced per seat: see Pricing. See also Invite people and manage their access.
How do I make someone a company administrator?
Invite them with another role first. An invitation straight into Global Admin or System Admin does not complete, and the person sees "This invite cannot be completed — contact your administrator." Once they have joined, open Admin, choose Users, then View / Edit on their row, and add the administrator role under Global Roles. See Invite people and manage their access.
I was asked to sign off, but my approval was refused. Why?
To approve or reject, the named approver also needs the approve reject permission. You can be chosen as approver without it, and your decision is then refused. Ask a company administrator to check your role. See Request and give sign-off and Roles and permissions, in plain language.
Can people from outside our company open our projects?
Only if you allow it. A company administrator chooses in Organisation Settings, under External project access: No external access, Approved domains only, or Project-managed, where being assigned to a project is enough. A project can narrow this, never widen it. Internal staff are not affected. See Organisations.
Your data
Is our data kept apart from other companies' data?
Yes. Each customer has its own database and its own access team, and access is granted to that team, not to signed-in users in general. Our Security page describes each control that is built, and nothing that is not.
Can we take our requirements out of GlobalProjects?
Yes, whenever you need to. In Requirements, the Spreadsheet view has Export CSV for Excel, and the Document view has Export Word. Every report has Export ▾ too. An export is a copy at that moment. If the buttons are greyed out, your company or project limits exporting to people with the Data export permission. See Export to Word and Excel.
How long do you keep our sources?
Sources are the notes, transcripts and documents added to projects. They are kept for 365 days and then deleted, unless your company chooses otherwise. Only the source documents are deleted: the requirements and everything else they produced are kept. A company administrator can change the period or keep sources forever, and a source on legal hold is never deleted. See How long sources are kept.
